Creating a party booking
The admin party form: booker, celebrant, package, space, extras and deposit.
Parties > Create A Party (Admin)
- 1
Booker details
Enter the Booker's first name, last name, email, phone number and post code — this is the adult paying and being contacted.
- 2
Celebrant details
Enter the Celebrant's first name, last name and birthday date — the child the party is for.
- 3
Party details
Set Number of Climbers, choose a Package (e.g. The Daredevil Package, The Ultimate Party Package, Toddler Party (Admin Only)), then the Party Date and Party Time.
- 4
Party Space
Choose the space, e.g. Table - 01 - (Hour) or Table - 02 - (Half Hour). Disabled spaces are shown but should not be used.
- 5
Check the pricing
Price Per Climber, Price Excluding VAT, Price Including VAT and VAT Rate are filled from the package. Only change them if you are deliberately giving a bespoke price.
- 6
Notes and extras
Customer Notes appear to the booker; Admin Notes are internal. Use Add Extra for items like Slushies, Leap of Faith/Dropslide, Party Bags or hot drink tokens.
- 7
Discount and totals
Enter a Discount Code or a manual Discount Amount if agreed, then check Subtotal, Total Excluding VAT, Total Including VAT, Already Paid and Balance.
- 8
Save
Press Save. The party appears on the party calendar and in Upcoming Parties.
Watch out for
- Check the party calendar before saving — the admin form will let you double-book a table.
- Extras are distributed either 'per party' or 'per party member'; that is set on the extra itself and affects the price.
